How does work flow in this system?
Every activation project enters as a card in “Analysis”, where system consultants study the client's current processes and document gaps and requirements on the card, then moves to “Customization” to build the required screens, permissions, and reports. Then “Migration” to move the client's data from their legacy systems with documented accuracy reconciliations, then “Training” for the client's users with guides and recorded sessions, then “Acceptance”, where the client tests the system and signs the acceptance certificate — a financial milestone — and finally “Support” throughout the contract year.
Dues is tied to acceptance stages: each stage the client certifies earns its payment — analysis, then customization, then migration, then final acceptance — so management sees directly which projects have stalled billing and which await a signature. The Forum documents material customization decisions: what the client requested beyond the standard scope and how it was handled. Chat is for daily coordination with the client's contact person, and Announcements is for internal circulars such as new platform releases that affect all projects.
The implementation manager owns the project plan, moves the card between stages, and secures the acceptance certificates; system consultants execute analysis, customization, and training and document every decision with the client; and the data team runs “Migration” with reconciliations signed by the client. After acceptance, the support team takes over the card with the complete project file — the analysis, the customizations, and the notes — and serves the client without asking colleagues from scratch.
