How does work flow in this system?
A new client means a card in “Setup”, where DevOps engineers build their environment — server, databases, and backups — and document its configuration on the card. After handover, it moves to “Daily Monitoring”, where performance metrics and alerts are watched, and “Maintenance” cards are created for scheduled periodic work such as security updates. Any outage or malfunction opens an “Incident” card at the highest priority, handled and documented step by step, then moves to “Resolution” after service is restored and the incident summary is written. At the end of each cycle, client subscriptions pass through “Billing”.
Announcements is the official maintenance channel to clients: notice of scheduled maintenance well in advance, or a statement on a general outage with its cause and repair time — the company's credibility is built on this channel's candor. Dues posts each client's monthly subscription by service tier and whatever falls late. Chat is the operations room during incidents: instant coordination between engineers and whoever is responding to clients.
DevOps engineers run “Setup” and “Maintenance” and handle “Incident”, documenting what they did on the card during the fix, not after; the client support team receives reports, opens their cards, and follows client satisfaction after “Resolution”. Major incidents are reviewed weekly: the same cause recurring? Then it gets an infrastructure-improvement card in “Maintenance” — the only acceptable incident is the one that never repeats.
