How does work flow in this system?

The bakery day starts at dawn in the “Production” column: cards for daily items with planned quantities based on yesterday’s sales and waste; what is produced moves to “Display” on shelves with tracking of what sells out first so it is re-produced before noon. Custom cake and pastry orders for occasions enter “Special Order” with their specs and delivery date and run on their own schedule until “Delivery” at the exact time agreed with the customer. In parallel, the materials officer watches the “Materials” column: flour, sugar, and raw material balances, expiry dates, and supplier orders. The day closes in “Daily Report” with sales, waste, and tomorrow’s plan.

Chat runs between production and sales: an item sold out from the shelf needing an extra batch before the peak, a spec change on a special order from the customer the day before delivery, or coordinating a cake delivery at a fixed time that tolerates no delay. Announcements are for the head baker: new seasonal items, price updates, and quality and hygiene standards no shift may bend.

Dues records raw material purchases from suppliers with payment dates, special-order deposits and remaining balances at delivery, and daily operating expenses — so the head baker knows each item’s true cost against its selling price and adjusts the assortment on numbers.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Head Baker

Plans daily “Production” quantities, approves specs of large special orders, announces new items and prices, and reviews the “Daily Report” to adjust tomorrow’s plan.

Production Team

Executes “Production” cards to consistent quality and “Special Order” cards to the documented specs, and reports any material shortage immediately.

Sales Officer

Manages “Display” and tracks fast-selling items, receives special orders and records their specs precisely, and coordinates “Delivery” with customers on time.

Materials Officer

Follows “Materials”: raw balances and expiry dates, orders from suppliers before stockout, and logs purchases in Dues first-hand.
