How does work flow in this system?

The coffee journey starts in the “Green Beans” column: cards for incoming coffee crops with their origins, quantities, and expected tasting notes. The head roaster takes them to “Roasting” where they document the roast degree and curve for each batch on its card, then “Packing” with the package weight and roast date on it. From here the road forks: what goes to the café moves to “Café” for the baristas’ daily consumption, and what goes to wholesale clients — cafés and offices — moves to “Wholesale” with their recurring orders and delivery dates. The week closes in “Report” with both channels’ sales and green-bean stock.

Chat runs between roastery and bar: the barista raises extraction and tasting notes about a new batch, and the roaster adjusts the next batch’s curve based on them; wholesale sales coordinate delivery times and order changes. Announcements are for management: new crop launches, wholesale price updates, and scheduled barista tasting and training programs.

Dues manages wholesale clients’ monthly receivables, green-bean purchases from importers with their payment terms, and operating expenses such as bags and labels — so each sales channel’s margin shows separately, and the owner knows when to raise the wholesale price and when to hold it.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Head Roaster

Runs “Roasting” and documents each batch’s curve on its card, decides batch readiness for packing, and develops blends based on continuous bar feedback.

Barista

Consumes “Café” stock and delivers the guest experience, raising extraction and tasting notes to the roaster via Chat after every new batch.

Wholesale Sales Officer

Manages “Wholesale” clients — cafés and offices — schedules their recurring orders, and follows their monthly invoices in Dues.

Inventory Officer

Tracks “Green Beans” balances, packaging, and consumables, and alerts well before any item runs out so supply completes without interruption.
