Refrigerated Transport Company System
Transporters of chilled food and pharmaceuticals committed to a documented cold chain from loading to delivery.
The chilled shipment's journey with temperature readings documented at every stage — a record that protects the company in any quality claim.
No credit card required — your project is set up with the full system in under a minute
This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
Every shipment starts as a card in “Loading”, where the driver and quality supervisor record the cargo temperature and the vehicle compartment temperature before departure, with a photo of the gauge; a shipment is only cleared for departure within the allowed range. It then moves to “Monitored Transit” for the whole journey, and the driver logs temperature readings at their scheduled times on the card and over Chat.
On arrival the card moves to “Delivery” with the receiving temperature documented and the consignee's signature, then to “Temperature Log”, where every reading from loading to delivery is compiled into a single record attached to the card — the document presented to the customer or authorities in any claim. Compliance and deviations are then summarized in a periodic “Report” per customer or per week.
The “Maintenance” column is reserved for refrigeration units: any fault or scheduled service is logged as a card that blocks the vehicle from being assigned to a new shipment until closed — no vehicle leaves with an unreliable cooling unit. Chat is the urgent-alerts channel — a sudden temperature rise demanding immediate intervention — and Dues privately records customer receivables per trip, driver wages, and unit maintenance and diesel costs.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Quality Supervisor
Approves loading and delivery readings, reviews the “Temperature Log”, and decides the fate of any shipment that left the allowed range.
Refrigerated-Transport Drivers
Log temperature readings on schedule, and report any deviation or cooling-unit fault immediately over Chat.
Operations Coordinator
Schedules shipments onto vehicles, moves cards between columns, and prepares the periodic customer “Report”.
Refrigeration Technician
Carries out “Maintenance” cards for cooling units, documenting repairs and replaced parts before the vehicle returns to service.
