Continuous Improvement Department System (Lean)
A continuous improvement team leading process-development initiatives across the company with a measurement methodology.
A full improvement cycle from spotting the opportunity to rolling out and documenting the solution — with measured numbers, not impressions.
No credit card required — your project is set up with the full system in under a minute
This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
Every initiative starts as a card in “Opportunity”, logged by any employee who noticed waste, repetition, or needless complexity in a procedure. The improvement team moves it to “Analysis”, where the problem is studied in the field and its current numbers are gathered: what it costs, how long it takes, how many errors it produces. Once the root is clear, it moves to “Experiment”, applying the proposed solution on a small, time-boxed scale; then to “Measurement” to compare results against the previous state in numbers, not impressions. If the experiment proves out, it moves to “Rollout” to apply the solution across the remaining departments; then “Documentation”, where the new procedure is written up as an official standard; and the card stays in “Follow-Up” for a period to confirm the result holds.
The Forum is the improvement memory: every mature opportunity is discussed in a documented topic gathering the analysis, the experiment, and the result, so whoever comes a year later learns from it. Announcements publish approved success stories: rolling out a new improved procedure across the company, or recognizing the author of a successful opportunity — turning improvement culture from a slogan into weekly news. Dues manages the experiment budget and initiative rewards: each experiment’s cost and what it saved are recorded side by side, so the return is plain to see.
The improvement manager leads the board and picks what enters “Analysis” from “Opportunity” by expected impact; department champions — the trained point of contact in each department — run analysis and experiments in their areas and keep cards updated. Management reads results straight from the “Measurement” column, and any rollout is officially announced in Announcements with its new procedure documented before the card closes — no improvement is adopted without a written standard.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Continuous Improvement Manager
Selects opportunities and orders their priorities, approves “Measurement” results before “Rollout”, and raises the gains summary to management.
Department Champions
Spot improvement opportunities in their departments, run analyses and experiments in the field, and keep cards updated with numbers as they happen.
Documentation Officer
Writes improved procedures in standard form in “Documentation”, and monitors application stability in “Follow-Up”, flagging any regression.

System units
- Tasks — A kanban board with workflow columns and execution cards
- Forum — Documented discussions in organized sections — decisions and knowledge that never get lost
- Announcements — The official voice of management — circulars and alerts that reach everyone
- Dues — Internal money with strict privacy — dues, advances, and expenses
Forum sections (4)
- Proposed Improvement OpportunitiesDiscussing candidate opportunities before adoption: is the impact worth it? Who sponsors the analysis? Which metric will be measured?
- Experiment ResultsPresenting completed experiment numbers — what succeeded and what failed — with full transparency so everyone benefits from the outcome.
- Tools & MethodologiesExplainers for the improvement tools in use, like value stream mapping, the five whys, and kaizen, and their application in our company’s procedures.
- Approved StandardsAn archive of improved procedures approved after “Documentation” — the official reference for the new way of working.
«Working Rules for This System» — Pinned in the forum
1) Every opportunity is logged as a card describing the problem, not the solution — the solution is born in “Analysis”. 2) No experiment without a baseline: current-state numbers are recorded on the card before the experiment starts. 3) An experiment is limited in scope and duration, and its results are presented in the “Experiment Results” section whether it succeeded or failed. 4) No rollout before the improvement manager approves the “Measurement” numbers. 5) Initiative rewards and experiment costs are recorded in Dues as they happen.
Welcome announcement: «The Continuous Improvement Platform Is Now Open»
Every improvement idea now has a clear path: logged in “Opportunity”, it passes through analysis, experiment, and measurement through to rollout — and no idea gets lost in a meeting or a message ever again. Start by logging whatever slows down your daily work procedures; participation rules are in the pinned “Working Rules” topic in the Forum.
