How does work flow in this system?

Every customer interaction — call, WhatsApp, email — becomes a card in “Incoming” with the customer’s details, channel, and a summary of the request. The card moves to “Triage”, where the supervisor classifies it — inquiry, complaint, service request — and assigns it to an agent, who works it in “In Progress”. Anything waiting on another department or on the customer goes to “Pending” with a documented reason and a follow-up date; once resolved, the card moves to “Resolved” and then “Satisfaction”, where the customer’s experience is scored. Finally, cases with recurring causes are grouped in “Analysis” so their roots can be fixed with the departments concerned, instead of treating the same symptoms every day.

Chat is the lifeline of the shifts: handovers between one shift and the next, a live consult with a supervisor during a difficult call, and covering seats at peak times. The Forum documents major escalations and their decisions, root-cause discussions of recurring problems, and the approved reply templates that keep the team’s voice consistent. Dues manages performance bonuses and monthly agent incentives in complete privacy — visible only to those authorized.

The supervisor distributes incoming cases across shifts and watches the “Pending” column and response times; agents work cases and escalate anything beyond their authority with a documented reason on the card; and the quality analyst reads the “Satisfaction” and “Analysis” results and raises recommendations to management weekly — turning today’s complaints into permanent improvements in the customer journey.

1) No customer without a card: every interaction is logged, whatever its channel or however simple it is. 2) A reason for waiting and a follow-up date are mandatory when moving any card to “Pending”. 3) Escalation to the supervisor happens with a clear reason documented on the card, not verbally. 4) The satisfaction score for every case is recorded on its card before closure. 5) Whatever recurs three times is raised in the “Root Causes” section for a permanent fix. 6) Bonuses and incentives are recorded in Dues only and never mentioned in Chat.
