How does work flow in this system?

Every project is a card that starts in “Requirements” by documenting the client's program, the municipality's requirements, the Saudi Building Code, and the budget limits, then moves to “Concepts”, where the first design alternatives are proposed and presented to the client for selection. Once the concept is approved, the card enters “Development” to produce the detailed drawings, elevations, and sections, then “Review” for internal checking and cross-discipline coordination — architectural, structural, and electromechanical — then “Approval” for submission to the official authorities and sign-off of the drawings, and finally “Supervision” to follow execution on site and answer the contractor's queries.

Every substantive design review is documented as a Forum topic: what was reviewed, what the comments were, and what was decided and why — so the record of design decisions is preserved for any later disagreement with the client or the contractor. Chat is for daily coordination between engineers and drafters: distributing sheets, deadline deliverables, and quick detail questions that need no documentation.

Announcements carries the firm's official circulars to clients: updates to municipal requirements or new building-code directives that affect their ongoing projects. Dues records the scheduled engineering payment certificates — upon approval of drawings and at the agreed supervision stages — and each project's expenses, so the financial position of every card is clear to the engineering manager without separate files, and no final approval is handed over before the dues of its stage are settled.

Engineering Manager

Approves concepts and drawings before submission in “Approval”, settles the design decisions documented in the Forum, and distributes projects across disciplines.

Design Engineers

Develop the concepts and detailed drawings, review cross-discipline coordination in “Review”, and upload sheets as attachments on the project card.

Drafters

Produce the construction and detail drawings as directed by the engineers, and update them with review and supervision notes in numbered versions.

Field Supervision Engineer

Follows execution on site on the “Supervision” cards, uploads visit reports and compliance photos, and escalates violations to the engineering manager immediately.

1) No project outside the system: every design or supervision appointment is registered as a card the day it is signed. 2) No concept is shown to the client before the engineering manager reviews and approves it. 3) Review decisions are documented in the “Documented Design Reviews” section — Chat is for quick coordination only. 4) Sheets are uploaded to the card in numbered versions and are never sent from outside it. 5) Payment certificates are recorded in Dues as each approved stage falls due.
