Complete Law Firm System
Law firms of 3–20 people running parallel cases with clients and hearing schedules.
The full case lifecycle from intake to enforcement, with documented legal positions and confidential fee tracking.
No credit card required — your project is set up with the full system in under a minute
This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
Every case enters the system as a card in the “Intake” column, recording the client's details, the type of dispute, the initial documents, and the date of the first action. It then moves to “Research & Study”, where the researchers gather the relevant statutes and judicial precedents and attach them to the card. Once the study is complete, the card moves to “Drafting” for writing pleadings, memoranda, and contracts, then to “Awaiting Hearing/Reply”, where it stays tracked against the next hearing date or the deadline for the authority's reply, and finally to “Enforcement & Closure” once the judgment is issued and enforced, or the file is closed by settlement and the fees are collected.
Chat is the fast daily coordination channel between partners and researchers — a question about a statute, arranging hearing attendance, or handing over an urgent document — while adopted legal positions never pass through Chat; they are documented in the Forum's decisions section so they remain a reference when opinions differ. Announcements is the firm's official voice: team circulars, deadline alerts for replies to official bodies, and formal client-facing messages such as legislative updates that affect their cases.
Dues manages the firm's internal finances in confidence: the fees of each case and the installments due from clients, plus advances and expenses per member — visible only to those with access to the unit — so a partner knows the financial position of every case without separate ledgers. The partner reviews the “Awaiting Hearing/Reply” cards weekly and approves drafts before filing, and the secretariat updates due dates on cards as soon as hearing dates are set, so no appointment and no financial transaction ever passes outside the system.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Supervising Partner
Approves final drafts before filing, reviews “Awaiting Hearing/Reply” cards weekly, and documents major legal positions in the Forum.
Legal Researchers
Carry out research and study and write draft pleadings, moving cards between columns and attaching documents to every card.
Secretariat
Registers new cases as cards in “Intake”, tracks hearing dates and updates their due dates, and publishes management circulars in Announcements.

«Working Rules for This System» — Pinned in the forum
1) No case outside the system: every new case is registered as a card the day it arrives. 2) A card does not move to a column until the work of the previous column is complete. 3) Legal decisions and positions are documented in the “Legal Decisions & Positions” section — Chat is for quick coordination only. 4) Every hearing date is recorded as a due date on the case card as soon as it is set. 5) Fees and expenses are recorded in Dues as they occur.
Welcome announcement: «Welcome to the Firm's System»
This system is how we work from today: every case is a card that moves across the columns from Intake to Closure, and every significant legal decision is documented in the Forum, not in Chat. Start by registering your active cases now; anyone with a question about the workflow will find it in the pinned “Working Rules” topic in the Forum.
