Complete Finance Department System
The finance department of a mid-sized company handling daily entries, reconciliations, and monthly reporting, needing a disciplined, on-time close.
A tightly run monthly cycle from daily journal entries to the management report, with documented reconciliations and internal cash recorded privately.

This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
The fiscal year runs in monthly cycles across the five columns: every financial transaction is logged as a card in “Entries” the day it occurs, with its supporting document; then moves to “Reconciliation,” where balances are matched against bank, supplier, and customer statements and discrepancies are raised. Once reconciliations are complete, cards move to “Review,” where the reviewer checks the soundness of the accounting treatment and document completeness; then to “Close,” when the month is officially locked and retroactive edits are blocked; and finally “Monthly Report,” where the statements and financial performance summary are prepared and submitted to management on a fixed day of the following month.
Chat is the accountants' daily coordination channel: asking about a missing document, flagging discrepancies surfaced in a bank reconciliation, or coordinating with another department to obtain an invoice. The rule: any discrepancy or material observation is documented on the card itself so its trail survives review and later audit.
Dues manages all kinds of internal money privately: petty cash, supplier payments, customer collections, and employee advances — every movement an entry backed by a document and linked to its card on the board. This way the finance manager knows the cash position in real time without waiting for a report, while entry details stay restricted to those authorized.
Work flows from the accountants who post the daily entries and prepare the reconciliations, to the reviewers who inspect and return what's incomplete with a note, to the finance manager who approves the close, delivers the monthly report to management, and answers their questions on the numbers.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Finance Manager
Oversees the full monthly cycle, approves the close in the “Close” column, and delivers and signs the monthly report to management.
Accountants
Post daily entries as cards with their documents, prepare bank and ledger reconciliations, and move cards between columns as work progresses.
Reviewers
Examine entries and reconciliations in the “Review” column, catch discrepancies and gaps, and pass no card without complete supporting documents.
Cashier
Executes cash disbursements and receipts per approved cards, recording every movement in Dues with its attachment on the same day.
