Graphic Design Studio System
Graphic design studios with repeat clients in brand identities, campaigns, and visual content.
The design request from brief to invoicing, with client assets preserved and revision rounds governed by a clear policy.
No credit card required — your project is set up with the full system in under a minute
This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
Every request is a card that starts in “Brief”, documenting what the client asked for: the identity, the audience, the references, the sizes, and the required formats. It then moves to “Concepts”, where the designers present two or three directions to choose from. Once the client chooses, the card enters “Development” to produce the full design in all its sizes, then “Client Review”, where the draft is sent and the client's response is recorded on the card — a specific note or an approval — then back to “Development” with the revisions or on to “Delivery” with the final source and print files, and finally “Invoicing” after client acceptance.
The Forum preserves every client's assets: brand guidelines, fonts, colors, source files, and the history of notes on their taste — so a designer never starts a new project for an old client from scratch and never repeats what was rejected before. Chat is for daily coordination: a question about an incomplete brief, scheduling the concepts presentation, or requesting a logo in a format missing from the client's assets.
Announcements carries the studio's official policies: the agreed number of revision rounds, the final-delivery process, and the pricing of extra work beyond the brief. Dues records project installments — an advance before “Concepts” and a final payment at “Delivery” — and source files are never handed over before the final payment is settled, so the system protects the studio's rights without manual chasing.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Creative Director
Approves concepts before they are shown to the client, settles design disagreements, and reviews “Client Review” cards daily to ensure fast responses to notes.
Designers
Produce the concepts, develop the designs, and execute the revision rounds, uploading versions to the card with their version numbers.
Account Coordinator
Receives the brief from clients and documents it, communicates with them through the review rounds, and prepares delivery files and invoices at closure.

«Working Rules for This System» — Pinned in the forum
1) No design without a documented brief: every request is registered as a card with a complete brief before work starts. 2) No concept is shown to the client before the creative director approves it. 3) Versions are uploaded to the card with their version numbers and are never sent from outside it. 4) Client assets and notes are updated in the Forum after every delivery. 5) Revision rounds are counted per the studio's published policy, and source files are not handed over before the final payment is settled in Dues.
Welcome announcement: «Welcome to the Design System»
From today, every request is a card that moves from Brief to Invoicing, and every client's assets and notes are preserved in the Forum so any designer picks up where the previous one stopped. Start by registering your active requests and uploading your clients' assets in the “Client Assets” section; anyone with a question will find the workflow in the pinned “Working Rules” topic.
