HR Consulting Firm System
HR consulting firms providing recruitment, talent sourcing, and organizational structuring for their clients.
The recruitment assignment from requirements to the guarantee period, with documented sourcing channels and result-tied percentage fees.
No credit card required — your project is set up with the full system in under a minute
This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
Every recruitment assignment is a card that starts in “Client Requirements”, documenting the job description, qualifications, experience, offered salary, and the employer's culture, then moves to “Search & Screening”, where sourcing researchers sweep the channels, screen résumés, and upload the shortlist to the card. In “Interviews”, first interviews and candidate assessments take place and their results are documented; then “Presentation” nominates the best to the client with the full assessment report; then “Placement” when the client accepts and the candidate signs their contract; and finally “Guarantee” to follow the new hire through the agreed guarantee period.
Chat is for quick coordination with clients and candidates: confirming an interview time, requesting a document, or delivering a regret notice. The Forum documents the team's cumulative knowledge: the sourcing channels that work for each specialty, approved interview questions and assessment criteria, and clients' recurring notes on candidate files — so a new assignment benefits from everything before it instead of starting from scratch.
Announcements briefs the team on the state of the market: shifting salary averages in a sought-after specialty, new Saudization policies affecting current assignments, or peak hiring seasons. Dues records sourcing fees at the agreed percentage of the placed hire's salary upon placement, and tracks the lapse of that entitlement if the employment ends within the guarantee period — keeping fees tied to the actual outcome, not merely to the nomination.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Account Manager
Owns the client relationship, documents requirements precisely in “Client Requirements”, presents nominations in “Presentation”, and negotiates approvals and fees.
Sourcing Researchers
Sweep the search channels and screen candidates in “Search & Screening”, run first interviews, and upload assessment reports to the card.
Interviews Coordinator
Schedules client interviews with candidates, tracks each candidate's status in “Interviews”, and updates cards with interview results as soon as they come in.

«Working Rules for This System» — Pinned in the forum
1) No assignment outside the system: every recruitment request is registered as a card with documented requirements signed off by the client. 2) No one is nominated in “Presentation” before a documented interview with an assessment on the card. 3) Candidate data is confidential: it never leaves the cards and is shared only with the client who owns the assignment. 4) Sourcing channels and interview questions are updated in the Forum after every closed assignment. 5) Placement fees are recorded in Dues on signing day, and the guarantee period is tracked to its end.
Welcome announcement: «Welcome to the Recruitment System»
From today, every assignment is a card that moves from requirements to the end of the guarantee, and every channel and client note is documented in the Forum for the next assignment to build on. Start by registering your active assignments at their real stages; anyone with a question about the workflow will find it in the pinned “Working Rules” topic in the Forum.
