How does work flow in this system?
Every case is a card that starts in “Client Documents” by receiving passports, qualifications, and the required letters and checking their completeness and validity, then moves to “Submission”, where the licensed manager prepares the application and submits it to the competent authority through its official channels. The card stays in “In Process” with daily tracking of the application status, and any comment or completion request from the authority is documented on the card the moment it arrives. When the result is issued, the card moves to “Decision” — approval, completion request, or rejection with its reason — and finally to “Delivery”, where the client receives their visa or residency and the case is closed.
Chat is for fast internal coordination: alerting a follow-up officer to a reply received from an authority, or requesting a missing document from a client before the submission date. Announcements is the firm's voice to its clients: any change in visa, residency, or fee regulations is published immediately with its practical impact on pending and new cases, so the client knows where they stand without waiting for a call — and these very alerts are why clients trust the firm.
Dues precisely separates government fees paid on the client's behalf from the firm's own fees, and records what the client has paid and what remains for each case individually. The licensed manager reviews the “In Process” cards daily to spot cases that have exceeded their usual processing times and assigns follow-up officers to contact the authorities, so no case gets lost between an authority's departments and no fee goes unpaid and stalls a ready case.
