How does work flow in this system?

The team's day starts with a “Monitoring” round: periodic tracking cards for server, network, and backup health are reviewed every morning and their indicators updated. Preventive care work is managed as cards in “Maintenance” with scheduled dates and named owners. When an outage occurs, a card is created in “Incident” immediately with the impact level and affected systems; it moves to “Resolution” while being worked on, then to “Documentation,” where the cause, resolution steps, and the preventive measure stopping recurrence are recorded; and readiness and performance indicators are compiled in “Report.”

Chat is the team's operations room during incidents: instant coordination among on-call staff and quick escalation when impact widens. Announcements are the department's official channel to other employees: notice of scheduled maintenance windows well in advance, and alerts when a service goes down and when it's back. Infrastructure expenses are recorded in Dues privately: spare parts, annual maintenance contracts, hosting subscriptions, and operating licenses.

The on-call engineer is first to receive a monitoring alert: they create the incident card and start initial diagnosis, escalating to the specialist infrastructure engineer when the fault exceeds their authority. Every major incident is summarized in “Documentation” and reviewed in the weekly team meeting to extract a preventive measure that becomes a scheduled card in “Maintenance” — so the count of recurring incidents shrinks cycle after cycle.
