This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
Every job is a card that starts in “Survey” by inspecting the roof, tank, or pool and determining the suitable insulation type — waterproofing, thermal, or epoxy — the substrate condition, and its treatments, then moves to “Quotation” with the proposed material, its thickness, its price, and the warranty term. After client approval, it enters “Application”, where the crew prepares the surface and applies the approved system layer by layer, documenting each layer in photos before it is covered, then “Testing” by filling the tank or flooding the roof with water for the standard duration and monitoring for leaks, and finally “Handover & Warranty” with the signed test report and the written warranty certificate.
Chat is for daily coordination: the technical supervisor directs the crew according to the weather — insulation is never applied to a damp surface or in extreme heat — and the crew uploads layer photos for approval before covering. Announcements tells clients the test dates in advance so they can attend or delegate someone, and alerts owners of older roofs to the coming rainy seasons and the importance of checking insulation before them.
Dues records crew pay and materials for each card precisely — square meters, thickness, and material type — because the profit margin in insulation is easily lost to material waste and re-application. The technical supervisor allows no move to “Testing” before the layer photos are complete on the card, and the written warranty is never handed over without a test report signed by the client — a warranty is a commitment of years and cannot rest on a crew's memory.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Technical Supervisor
Conducts surveys and determines the suitable insulation system, approves layer photos before covering, and leads tests and signs their reports with the client.
Application Crew
Prepares surfaces and applies insulation systems layer by layer, documents each stage in photos on the card, and maintains the approved mixing ratios and thicknesses.
Quotations Officer
Builds price quotations after the survey with materials, thicknesses, and warranty, follows up client approvals, and issues warranty certificates at handover.
