How does work flow in this system?
Every trademark or patent file is a card that starts in “Search” with a preliminary search for similar marks and an assessment of registrability before the client is promised an outcome, then moves to “Filing”, where the registered agent prepares the application and files it with the Saudi Authority for Intellectual Property (SAIP) or the international bodies, depending on the scope. The card stays in “Examination Follow-up” while the authority examines it, with any objections or completion requests documented and answered within their deadlines, then “Publication” through the publication and opposition period, then “Registration” when the certificate is issued, and finally “Renewal”, where the rights stay tracked until their renewal dates years later.
Chat is for daily coordination: alerting a files officer to a letter received from the authority, or requesting a document from a client before a response deadline. Announcements is the firm's channel to its clients: alerts of upcoming renewal dates and warnings of expiring protection, and any change in fees or procedures published immediately with its practical impact — so the client always knows where their rights stand without having to ask.
Dues separates government fees paid on the client's behalf from agency fees, and records future renewal entitlements so they are never missed as the years pass. Files officers move cards with every letter from the authority, and the registered agent reviews the “Examination Follow-up” and “Renewal” cards weekly because response and renewal deadlines are strict and accept no postponement — a single file that misses its deadline means a lost right for the client and shaken trust in the firm.
