How does work flow in this system?

Every transaction is a card that starts in “Appointment” with the parties' details, the transaction type — contract, power of attorney, or title transfer — the appointment time, and the documents they must bring. It moves to “Verification” upon arrival to check identities, legal capacity, and document completeness. In “Drafting”, the clerk writes the contract or power-of-attorney text in line with the parties' intent and the law and presents it to them; then in “Notarization” the chief notary conducts the acknowledgment and signing and issues the instrument; and finally “Delivery & Archiving”, where the parties receive their copies and the record is filed with a reference number.

Chat coordinates the workday: confirming an appointment with a client, alerting a clerk that a party has arrived late, or requesting a missing document before the appointment so no one shows up in vain. Announcements publishes working hours and official notices to clients — such as new Ministry of Justice directives on notarization procedures or electronic title-transfer requirements — so clients arrive with complete documents from the first visit.

Dues records each transaction's fees daily and separates statutory fees from the office's own charges, so the chief notary knows the day's and month's revenue precisely, with no manual tallying. Clerks move cards across columns with each client, and the notary reviews the “Notarization” list before each session and stamps no transaction until verification and drafting are complete on its card — because their seal is a legal responsibility that no spur-of-the-moment judgment can carry.
