How does work flow in this system?

The monthly cycle runs across the six columns: it starts in “Data Updates,” where cards gather the changes affecting the month's payroll — new hires, promotions, deductions, unpaid leave — then moves to “Review,” where the financial reviewer reconciles the figures against their sources. After review, cards move to “Approval” for finance sign-off; then “Transfer” when the bank file is sent and transfers are executed; then “Notifications,” where each employee is informed of their deposit and payslip; and finally “Report,” which summarizes the month's registers and compares them with previous months.

Dues is the heart of this system: every employee has a private ledger where salary, allowances, advances, deductions, and end-of-service entitlements are recorded — in strict privacy, with each employee seeing only their own entries; only the payroll accountant, the reviewer, and finance management see the aggregated movements. With that, the secret spreadsheet disappears and the numbers become documented and auditable at any time.

Chat handles sensitive coordination with care: asking HR about an allowance item, or confirming a transfer date with the bank — without mentioning individual salary figures in shared channels. Work flows from the payroll accountant preparing cards in “Data Updates,” to the financial reviewer in “Review,” to the finance manager for approval; then the accountant executes the transfer and notifications and closes the month with the report.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Payroll Accountant

Prepares the monthly cycle cards in “Data Updates,” records each employee's entries in Dues, and executes transfers and notifications after approval.

Financial Reviewer

Reconciles payroll registers against their sources in the “Review” column, catches any discrepancy before approval, and passes no card without a supporting document.

Finance Manager

Approves the final pay run in the “Approval” column and reviews the month's report and comparisons before the cycle closes.

HR Specialist

Feeds the payroll accountant the changes that matter — hiring, promotion, deduction, leave — as documented cards before the closing deadline.
