How does work flow in this system?

Every hiring need starts as a card in the “Requisition” column with the position's specifications, title, approved salary, and hiring manager. Once the requisition is approved, the card moves to “Posting,” where the ad is prepared and published on the agreed channels; then to “Screening,” where incoming résumés are reviewed and a shortlist is drawn. Candidates who pass move to “First Interview” with the recruiter, then to the “Final Interview” with the hiring manager; whoever clears it has their card move to “Offer” for offer preparation and negotiation, and finally “Hired” upon signing and setting the start date.

Chat is the team's daily coordination engine: locking interview times between candidate and hiring manager, exchanging quick impressions after each interview, and instant alerts when an offer is accepted or a candidate declines. The team's rule: every stage-to-stage decision is documented as a comment on the card itself with the reason for rejection or advancement — Chat is for coordination, not decisions.

Work flows between roles with clarity: the hiring manager raises the requisition; the recruiter runs posting, screening, and first interviews, then passes the shortlist to the hiring manager for the final round; the head of talent acquisition watches the whole board and steps in on any card stalled for more than a week, receiving the new hire's complete file to hand over to employee affairs for onboarding.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Head of Talent Acquisition

Approves requisitions in the “Requisition” column, monitors funnel metrics and time-to-fill, and unblocks stalled cards.

Recruiter

Runs posting, screening, and first interviews; moves cards between columns; and documents every interview's impressions and the reason for rejection or advancement on the card.

Hiring Manager

Defines the position's specifications when raising the requisition, conducts the final interview in the “Final Interview” column, and approves the offer before it goes to the candidate.

Interview Coordinator

Locks interview times with candidates and managers via Chat, and makes sure evaluations arrive the same day after each interview.
