How does work flow in this system?

Every property nominated for auction enters as a card in “Documentation”, where the document coordinators complete the deeds, permits, and statutory transfer requirements; it then moves to “Valuation” to set the guide price and the minimum opening bid. Once the valuation is approved, it moves to “Marketing” to prepare brochures and ads and receive bidders' inquiries, then “Auction” on the day it is held, where bidders and the award result are documented on the card. After the award, the card moves to “Title Transfer” for the ownership-transfer procedures to the winner, and finally “Collection” until the property price and commissions are paid in full.

Announcements is the auction's official channel: upcoming auction dates, the lists of properties on offer, and bidding terms — information that must reach the whole team in one approved form. Chat is for daily coordination: a bidder's inquiry, hall preparation, or a group viewing appointment. Dues posts the deposits received from bidders and what is returned to those who did not win, and the awarded property's price and the committee's commission — a sensitive account that tolerates no error, because it is other people's money before it is yours.

The auction manager approves minimum bids, runs the auction day, and documents the award; document coordinators manage the “Documentation” and “Title Transfer” columns with notaries and authorities; the marketer runs “Marketing”, receives bidders, and records their deposits; and the accountant runs “Collection” and matches dues against award results. Every auction closes with a report aggregating what sold, what was postponed, and what was collected — built entirely on the board's cards.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Auction Manager

Approves valuations and minimum bids, runs the auction-day proceedings, documents award results on the cards, and settles any bidding dispute.

Document Coordinators

Complete deeds and permits in “Documentation”, and manage “Title Transfer” procedures with notaries and winners until ownership is transferred.

Marketing Officer

Runs the “Marketing” column: preparing auction materials and advertising it, receiving bidders, recording their deposits, and coordinating group viewings.

Committee Accountant

Posts bidder deposits and their return in Dues, and follows payment of awarded property prices and commissions in “Collection” to completion.

Welcome announcement: «Welcome to the Auction System»

From today, every property offered in our auctions passes as a card through the columns from “Documentation” to “Collection”, every deposit or payment is posted in Dues under its owner's name, and auction dates and terms are officially announced here. First step: register the nominated properties and complete their documents before announcing the date. No property enters an auction list before the “Documentation” column is complete.
