How does work flow in this system?

Every potential project enters as a card in “Opportunity” with the land or property details, its location, and its initial price, then moves to “Study”, where the financial and zoning feasibility is prepared and attached to the card. If management approves the investment, the card moves to “Acquisition” for the purchase and title-transfer procedures, then “Development” through the design, permitting, and execution stages with the contractor, then “Marketing” with campaign launches and reservation intake, and finally “Sales & Title Transfer”, where contracts and deed transfers are documented until the project closes with all its units sold.

The Forum is the investment decision room: every major opportunity is raised there with its study, cost, and expected return, and the decision to proceed or decline is documented with its reasons — a reference when reviewing portfolio performance years later. Dues manages buyers' payments: the installments of each reserved unit, what has been paid and what remains, and the contractor's payments due at completion milestones. Chat is for daily coordination between development, sales, and finance, and Announcements is for major management decisions such as launching a new project or approving sale prices.

The development manager leads the card from “Study” to the end of “Development”, coordinating with the consultant and the contractor; the sales team takes over at “Marketing” and manages reservations and contracts, posting every buyer payment in Dues; and finance reviews feasibility at the start and matches collections against the contractor's payment milestones at the end. At every move between columns, the stage's documents are attached to the card, so the project file stays complete in one place.

Who does what?

Development Manager

Leads the project from study to the end of execution: coordinates consultants and contractors, moves the card through “Acquisition” and “Development”, and submits progress reports to management.

Sales Manager

Takes over the project at “Marketing”: approves the pricing plan, manages reservations and contracts in “Sales & Title Transfer”, and tracks the sell-out of units.

Finance

Reviews feasibility at the “Study” stage, posts buyer payments and contractor dues in Dues, and matches title transfers against completed payment.

Projects Coordinator

Tracks project permits and documents and uploads them as attachments to the card, and coordinates title-transfer appointments with the notary and buyers.

1) No opportunity is assessed verbally: every opportunity is a card in “Opportunity” with its initial details the day it is presented. 2) No move to “Acquisition” without a study attached to the card and a documented decision in the “Investment Decisions” section. 3) Each stage's documents are attached to the project card before it moves to the next column. 4) A buyer payment is never received without being posted in Dues on the same day. 5) Change orders with the contractor are discussed in the Forum and approved before execution. 6) Each project's progress report in “Development” is updated on its card weekly.
