Resort & Resthouses System
An owner of resthouses and a small resort with weekend bookings and field service and maintenance crews.
Every resthouse is a card living its cycle: ready, booked, occupied, cleaning, maintenance, then feedback.
No credit card required — your project is set up with the full system in under a minute
This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
Every resthouse is a card living a full cycle across the columns: in “Ready” it is available for booking once preparation is complete; it moves to “Booked” the moment a booking is confirmed with guest details, check-in and check-out times, and the deposit; then “Occupied” throughout the guest’s stay with urgent requests logged on it. After checkout it moves to “Cleaning” with a fixed checklist that is never skipped; if a fault or damage appears it moves to “Maintenance” until fixed — and it does not return to “Ready” before completion and the supervisor’s approval. Guest notes are documented in “Feedback” to fix what recurs.
Chat runs between the supervisor and field crews: the guest arrived early and the resthouse is still being cleaned so priorities get reshuffled; an AC fault during a stay needs a technician immediately; or a guest requests extra supplies charged to their bill. Each resthouse’s status is updated on its card first-hand so everyone knows what is actually bookable and double-booking is impossible.
Dues records booking payments, refundable deposits and their refund terms, cleaning and maintenance costs per resthouse, and consumables purchases — so each resthouse’s net income shows separately before season accounting, and the owner knows which resthouse eats its profits through breakdowns.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Resthouses Supervisor
Oversees each resthouse’s cycle from “Ready” to “Feedback”, approves any resthouse’s return to “Ready” after cleaning or maintenance, and reviews feedback weekly.
Bookings Officer
Manages “Booked”: confirms bookings and payments, coordinates check-in and checkout times with guests, and prevents any schedule overlap between bookings.
Service & Cleaning Crew
Executes “Cleaning” with the fixed checklist after every checkout, responds to guest requests during “Occupied”, and reports any damage or shortage immediately.
Maintenance Technician
Picks up “Maintenance” cards, executes and documents repairs on the card, and escalates to the supervisor anything needing an outside contractor before it worsens.
