How does work flow in this system?

The cycle starts in the “Measurement” column, where baseline data cards are gathered: energy and water consumption, waste by type, emissions, recycling rates — each indicator a card with its data source and update cadence. Out of measurement gaps, initiatives are born in the “Initiative” column: energy conservation, plastic reduction, a waste-sorting program — each with an owner, a budget, and a quantified target impact. The initiative moves to “Execution”, where its tasks are tracked on the card; then its results go up in the annual sustainability “Report” built directly from the board. Periodically, indicators and initiatives pass through “Review” to assess what was actually achieved; and what proves successful moves to “Scale-Up” for rollout to other sites.

Chat coordinates daily initiative work: preparing a sorting campaign at a site, asking about a meter reading, or coordinating with a recycling contractor. Announcements rally the company: launching a new initiative that needs employee participation, motivating monthly results in numbers, and environmental occasions — sustainability succeeds through collective participation, and Announcements is its official channel.

Dues tracks initiative money: each initiative’s budget and actual spend on the card, what is paid to recycling contractors, and what is actually saved on energy bills after conservation — so the real return on every sustainability riyal is visible.

The sustainability officer owns the “Measurement” indicators and guards their update cadence; department champions carry their sites’ initiatives from “Initiative” to “Execution”. “Review” separates the serious from the cosmetic: an initiative that didn’t move its indicator goes back to design, and one that proved its impact is scaled in “Scale-Up” — and so the annual sustainability report is built on the board’s numbers, not impressions.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Sustainability Officer

Owns the “Measurement” indicators and their update cadence, evaluates proposed initiatives, and prepares the annual sustainability report from the board.

Department Champions

Carry their sites’ initiatives from “Initiative” to “Execution” and document results with before-and-after numbers.

Data Coordinator

Collects meter readings and waste and purchasing data, and updates “Measurement” cards on schedule.

Finance

Tracks initiative budgets and spending in Dues, and measures actual savings after conservation.

Welcome announcement: «Welcome to the Sustainability & Environment System»

This system manages our environmental footprint in numbers: measurement indicators are updated periodically, initiatives move from idea to execution with an owner and a target impact, and results are announced here first. First step: log your sites’ indicators as cards in the “Measurement” column with their data sources, and anyone with an initiative idea raises it as a card in “Initiative” with its target impact.
