How does work flow in this system?

Waqf management runs on five columns: “Operations” for the leasing, maintenance, and daily occupancy of each waqf asset; “Revenue” for tracking the collection of rents and yields and their due dates; “Authorized Spending” for expenditures bound by the endowment's shariah-stipulated terms — from maintaining the asset to the stipulated charitable channels; “Periodic Report” for preparing the reports submitted to the supervising authority; and “Review” for the trustee's or board of trustees' approval before submission. Every card carries the asset it concerns, so the full picture of each waqf comes together on its own.

Dues applies the principle of waqf accounting: every revenue is posted to its asset and every expense to its stipulated term, so each waqf's net yield shows — what was spent from it and what remains; and this is the essence of waqf transparency. The Forum documents the decisions of the trustee and the board: investing a surplus, a long-term lease, major maintenance — what was decided, why, and on which document. Chat is for daily coordination with tenants and contractors, and Announcements is for official statements such as report submission dates and board decisions.

The trustee approves spending and reviews reports in the “Review” column before submission; the waqf accountant posts revenues and expenses under their stipulated terms in Dues and prepares draft periodic reports; and the property supervisor manages the “Operations” column of leasing and maintenance. At each periodic report, the Dues figures are carried over to the report card, so the report goes out to the supervising authority built on actual postings, not after-the-fact compilation.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Waqf Trustee

Approves expenditures per the endowment's terms, reviews periodic reports in “Review” before submission to the supervising authority, and documents their major decisions in the Forum.

Waqf Accountant

Posts revenues and expenses under their shariah-stipulated terms in Dues, prepares draft periodic reports from the actual postings, and follows rent receivables.

Waqf Property Supervisor

Manages the “Operations” column: leasing units, following up tenants, and overseeing maintenance — and escalates what needs a decision to the trustee.

What's prepared for you from day one?

«Working Rules for This System» — Pinned in the forum

1) No spending outside the founder's terms: every expense is posted to its stipulated term in Dues with its supporting document on the card. 2) Each asset's revenue is posted the day it is collected and never mixed with another asset's revenue. 3) Major decisions — long-term leases, substantial maintenance, or surplus investment — are documented in the “Trustee & Board Decisions” section before execution. 4) The periodic report is built from Dues postings and presented in “Review” at least a week before submission. 5) The supervising authority's notes are recorded in the Forum, and cards with an owner and a date are created to address them. 6) Official notices to tenants are issued in the Announcements unit, not in individual messages.

Welcome announcement: «Welcome to the Waqf Management System»

From today, waqf assets are managed on this board: operations, revenue, and spending as cards; every riyal is posted in Dues against its stipulated term; and trustee and board decisions are documented in the Forum. First step: register the waqf assets and their current revenue postings. Periodic reports are prepared directly from these postings — so no posting outside the system from today.
