How does work flow in this system?
Every warehouse is managed as a card reflecting its status: “Available” when it is ready to be listed, “Leased” the moment the contract is signed, then “Active Contract” throughout operation, where obligations and rents are tracked. When the warehouse needs work, the card moves to “Maintenance” until it is done; before the contract ends it moves to “Renewal” to negotiate with the tenant; and if they do not renew, it moves to “Termination” for warehouse handover, inventory, and return to Available once again.
Dues is the system's financial heart: each contract's rent with its due dates, what has been paid and what is late, and the security deposits held for each tenant — what is deducted from them at termination and what is returned. Chat is for daily coordination: tenant requests, viewing appointments, and urgent fault reports. There is no Forum and no Announcements in this system — the work is purely operational between the asset manager, the contracts coordinator, and the tenants.
The asset manager watches the board and decides pricing and renewal policy, and the contracts coordinator manages the full contract cycle: preparing the wording, following signing and handover, moving the card between columns, and flagging contracts that have entered the renewal window. At “Termination”, a joint inventory is conducted and documented on the card, and deposits are settled in Dues before the card is closed.
Who does what?

Asset Manager
Oversees the whole board and occupancy rates, approves prices and renewal and termination decisions, and reviews rent and deposit dues weekly.
Contracts Coordinator
Manages the contract cycle from offer to termination: prepares wordings, follows signing, handover, and inventory, and moves cards between columns on time.
Maintenance Coordinator
Receives fault reports from Chat and carries out “Maintenance” works with the technicians, and closes the card after confirming the warehouse is back to operating condition.
