Business Continuity (BCM) Department System
A team ensuring the company's critical systems survive disasters through tested plans and periodic simulation drills.
From risk analysis to a genuinely tested plan, with simulation drills that expose gaps before the disaster does.

How does work flow in this system?
Work starts at “Risks”: a card for every threat scenario — data center outage, cloud provider failure, cyberattack — with its likelihood and impact on each critical system assessed. The highest-risk scenarios move to “Plan,” where a continuity plan is written for each: fallback systems, recovery sequence, owner of every step, and target recovery times. Plans don't stay theoretical: every plan moves to “Test” with a scheduled simulation drill involving system owners, then “Results” to document what worked, what failed, and how long recovery actually took versus target. Gaps that surface are addressed in “Update” by revising the plan, and the readiness summary goes to management from “Report.”
The Forum is the main vessel for documented discussion in this system: new risk scenarios are raised and their likelihood and impact debated before adoption; continuity plan versions are reviewed and approved in one topic per plan; and drill results are analyzed with all system teams participating, so no drill lesson is left without a documented, tracked fix.
The continuity officer leads risk analysis, owns the plans, and schedules drills; system teams take part in assessing impact on their systems, run the drills, and update their own recovery plans; and every drill's results are presented to management with recommendations for investing in closing gaps — because the financial decision is built on a documented drill outcome, not guesswork.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Business Continuity Officer
Leads risk analysis and drafts continuity plans, schedules simulation drills and documents their results, and raises readiness reports to management.
System Team Representatives
Assess risk impact on their systems, run the drills, and update their systems' recovery plans after each drill.
Executive Sponsor
Approves plans and target recovery times, and decides investment in closing the gaps drills expose.

System units
- Tasks — A kanban board with workflow columns and execution cards
- Forum — Documented discussions in organized sections — decisions and knowledge that never get lost
Forum sections (3)
- Risk ScenariosRaising new threats and collectively assessing their likelihood and impact before turning them into cards in the “Risks” column.
- Continuity PlansReviewing and approving continuity plan versions — each plan has an updated topic reflecting the latest approved version.
- Drill Results & LessonsAnalyzing each simulation drill: what worked, what failed, how long recovery took, and what must change.
«Working Rules for This System» — Pinned in the forum
1. Every threat scenario is assessed for likelihood and impact before adoption in the “Risks” column. 2. No plan is approved without target recovery times and a named owner for every step. 3. Every critical system's plan is tested with a simulation drill at least once a year. 4. Every drill's results are documented in the Forum and its gaps closed with cards in “Update.” 5. Any major system change triggers a review of the affected plans within one month of the change.
