This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
Each contract or elevator is managed as a card moving along two paths: the preventive path starts in “Periodic Visit”, where scheduled maintenance and safety checks are performed and results documented on the card; the emergency path starts in “Call” when an elevator stops, makes an abnormal noise, or traps passengers — these cards carry top priority ahead of everything else. The card moves to “Repair” with the fault and replaced parts documented, then “Verification” — a column never bypassed: a full operational test and safety-systems check before the elevator returns to service — then “Report” with a technical statement for the client, and finally “Invoicing” for the periodic contract or the out-of-scope extra repair.
Chat is the first emergency channel: a trapped-passenger call arrives and the supervisor immediately directs the nearest technician and follows through until they are freed; spare-parts coordination between technician and warehouse runs there too. Announcements carries official circulars: updated safety procedures, alerts on overdue periodic visits that must be caught up, or the recall of a defective part from stock. Dues privately records maintenance contract values, parts costs, technician dues, and emergency-call fees.
The call coordinator receives and logs the call, the technical supervisor assesses its severity — trapped passengers mean immediate dispatch — and assigns the right technician; the technician documents the repair with photos and parts, and the card only closes after a documented “Verification” signed by the supervisor. Each elevator's record accumulates, revealing recurring faults and justifying a replacement recommendation when needed.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Technical Supervisor
Assesses call severity and directs technicians, approves “Verification” results before any elevator returns to service, and reviews recurring-fault records.
Maintenance Technicians
Carry out periodic visits and emergency repairs, documenting the fault, spare parts, and test results on the card.
Call Coordinator
Receives client calls around the clock and logs them, and tracks response time for each call to closure.
Contracts Officer
Tracks periodic-visit schedules and renewal dates per contract, and issues periodic invoices and additional-work invoices.

Welcome announcement: «Welcome to the Elevator Maintenance System»
From today, our contracts and calls are managed from this board: periodic visits with their documented dates, and emergency calls at top priority — a trapped-passenger call moves immediately and never waits. No elevator returns to service before passing the “Verification” column with a documented test. Start by registering contracts and their visit schedules; safety circulars and alerts will reach you via Announcements here.
