How does work flow in this system?

The case enters as a card in “Assessment” where the lead counselor meets the client in a first session and documents the nature of the problem, risk evaluation, and initial plan — keeping any details out of card titles. The card moves to “Program” to set session count, intervention type, and the most suitable counselor, then to “Sessions” where sessions are scheduled and their professional summaries noted on the card under restricted permissions. The case advances to “Follow-Up” when the situation stabilizes with spaced sessions, then “Closure” when plan goals are met, in full confidentiality; the closing summary handed to the client on request is written in “Report”.

Privacy here is no luxury: card titles use a case code rather than an explicit name, session details are permission-restricted, and Chat is used for administrative coordination only — scheduling and appointments — with any session content strictly forbidden in it. Announcements are for professional circulars: counselor development workshops, confidentiality policy updates, or leave notices.

Dues records session fees and packages with a privacy that separates money from therapeutic content: the accountant sees that case number X paid Y without knowing its name or story, and the counselor sees their sessions without being distracted by the financial side.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Lead Counselor

Performs the first assessment and sets the plan and best-fit counselor, supervises complex cases, and approves file closures.

Specialists

Conduct counseling sessions per the program and note professional summaries on cards under restricted permissions.

Reception

Schedules sessions by case codes without explicit names, reminds clients of appointments confidentially, and records fees in Dues.

Welcome announcement: «Welcome to the Center System»

This system is how we work from today: every case is a card with a code, not a name, moving from “Assessment” to “Report” in full confidentiality. Chat is for scheduling and administrative coordination only — therapeutic content is forbidden in it. Announcements are for professional circulars, and fees in Dues are separated from content. Start by registering current cases with their codes and programs.
