How does work flow in this system?

The cycle starts in “Materials” with cards for receiving raw materials, documented with their expiry dates and supplier batch numbers, and issued to production on a first-to-expire basis. A card is then created in “Production Batch” with a unified batch number everyone follows through every stage, moving to “Quality”, where samples are drawn and lab and sensory test results are recorded on the card before packing is allowed.

Once quality approves, the batch moves to “Packing” with the production date printed on the packs, then “Distribution” with quantities and destinations documented per distributor. The card moves to “Expiry Tracking” to monitor the expiry dates of distributed batches and recall anything nearing expiry from the market; finally, production figures, rejections, and returns are summarized in a daily or weekly “Report”.

Chat is for daily coordination between production, inventory, and quality: a raw material nearing expiry that must be used first, a line behind schedule, a distributor requesting an urgent batch. Announcements carry management circulars: hygiene and food-safety procedures, customer specification updates, and official inspection dates. Dues privately records raw-material purchases, supplier payables, distributor sales, and shift wages.

Production Manager

Schedules batches according to orders and expiry dates, approves the production “Report”, and balances line capacity against commitments.

Quality Officer

Draws samples and documents results on the batch card, and approves batches for packing or holds them with the reason stated.

Inventory Keeper

Receives raw materials and documents their expiry dates, issues them by expiry priority, and updates balances after every movement.

Packing & Distribution Supervisor

Runs the packing line with approved batches, allocates quantities to distributors, and documents what was delivered to each destination.
