How does work flow in this system?
Each contracted garden is a card starting in “Scheduling” with visit days and the contracted scope documented. Visits are confirmed in “Daily Care”: irrigation, pruning, cleaning, fertilizing, and pest control, with the gardener documenting what was done each visit. Out-of-scope work moves to “Landscaping”: new planting, rockwork, or lighting — priced for the client and executed after approval. The “Season” column covers seasonal work: seasonal planting, protecting plants from heat and cold, and readying the garden for each season. Then “Invoicing” issues the month's invoice plus approved landscaping extras, and “Review” captures client satisfaction and remarks.
Chat runs between the supervisor and gardeners: a photo of sudden yellowing in a garden's plants, a client requesting a visit reschedule, or advice on choosing seedlings for the coming season. Dues privately records gardener salaries, purchases of seedlings, fertilizer, and pesticides, monthly contract receivables, and landscaping-work payments — so the profit of each contract and each landscaping project stands alone.
The gardener confirms his visit and raises a note or photo on the card, and the supervisor decides: if within scope it is handled on the next visit; if extra work it moves to “Landscaping”, where the landscaping officer presents it to the client priced. At month's end invoicing combines the contract value and approved extras, the client rates the service, and results are reviewed in the weekly meeting.

Landscaping Officer
Designs and prices additional and seasonal landscaping for the client, and follows execution after approval through to delivery.
Accountant
Issues monthly invoices and landscaping-work invoices, tracks collection, and records salaries and purchases in Dues.
