How does work flow in this system?

Every order enters as a card in “Measurement” with a site-visit appointment; dimensions, site photos, and customer remarks are recorded on the card. It moves to “Quote” with a detailed price covering iron, paint, and installation — no work begins before customer approval and receipt of the deposit. Then “Fabrication” in the workshop to the agreed specs, with work-stage photos on the card.

Once fabrication is complete the card moves to “Installation” at a time scheduled with the customer; the smiths document completion with photos before leaving the site, then “Handover” with the customer's signature and collection of the remaining balance. The card then stays in “Warranty” for a set period: any report of rust, loosening, or weld defects is handled and documented on it to closure.

Chat connects the smiths with the supervisor: a dimension needing reconfirmation with the customer before cutting, a site not ready so installation is postponed, an unavailable iron section with a substitute proposed. Dues records the deposit and handover payment, iron and paint costs, and smiths' daily or piece-rate wages — so the margin on every job stands alone, and any activity consuming workdays without worthwhile return is exposed.

Approves quotes after measurement, schedules fabrication and installation, reviews “Warranty” reports, and decides the remedy.

Smiths

Carry out fabrication and installation to dimensions, documenting work stages with photos on the card.

Measurement & Quotes Officer

Visits sites and uploads measurements and photos, prepares quotes, and follows up their approval and deposit collection.

Accountant

Collects the deposit and balance at “Handover”, and records material and wage costs in Dues.
