A card is opened for each child in “New File” where the nurse records their details, date of birth, medical history, and prior vaccinations. When a vaccination comes due the card moves to “Vaccination” where the dose is given and its batch and next-dose date are noted, then returns to its normal follow-up. “Growth Monitoring” cards track height, weight, and head circumference measurements and document them on growth curves on the card; any deviation from the curve is flagged for the physician’s attention. Scheduled checkups stay in “Periodic Checkup” until their date, and when needed a report for the parent or school is prepared in “Report”.

In this clinic, Announcements serve a critical function: weekly lists of due vaccination reminders so nurses call parents before the date is missed, plus management alerts like clinic-hour changes or a new vaccine shipment arrival. Chat is between physician, nurses, and reception: a dose question, an allergy alert appearing after vaccination, or coordinating appointment congestion.

Dues privately records consultation fees, vaccination prices, and monthly growth-monitoring packages, so reception knows the child file’s financial status before any appointment, and the numbers stay out of sight of those they don’t concern.
