How does work flow in this system?

Every cohort opens as a card in “Cohort” where the academy director sets its track — web, apps, or data — seat count, trainers, and start date. The card moves to “Fundamentals” through the foundation phase, where completion rates, attendance, and quiz results are tracked on the card; then “Applied Practice” where trainees build small apps whose code is reviewed and review notes logged; then “Project”, the bootcamp’s peak: teams build real projects with documented requirements and weekly reviews on the card. After the final showcase the cohort moves to “Evaluation” to assess each trainee and their project, then “Employment” where graduates’ files are tracked with hiring partners until placement.

Chat runs between trainers and track supervisors: a technical question blocking a trainee, coordinating a code review, or an early-dropout warning for a trainee whose performance slipped. Announcements are for academy-wide matters: final showcase dates, open hiring days with companies, and technical curriculum updates.

Dues records bootcamp fees in installments from trainees and trainers’ payables per cohort, with privacy separating each cohort’s account — so the academy director knows each track’s cost and return and decides to expand or stop it on numbers, not guesses.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Academy Director

Opens cohorts and sets their tracks and trainers, reviews evaluation results and employment rates, and tracks cohort dues in Dues.

Trainers

Deliver the Fundamentals and Applied Practice phases, review code and projects, and note feedback on the cohort card weekly.

Track Supervisors

Follow each trainee’s progress inside the track, spot struggles early and escalate to the trainer, and sign off trainee readiness for final evaluation.

Employment Coordinator

Builds hiring-partner relationships, prepares graduate files in the “Employment” column, and follows each graduate until hired.
