How does work flow in this system?

The school year starts with “Registration” cards for each new and returning student, where student affairs records details and set fees; cards then move to “Class Sections” where students are distributed to sections and lists approved by grade supervisors. During the year, “Follow-Up” cards do the work: behavior notes, repeated absence, dropping grades — each case is a card opened by the teacher and followed by the grade supervisor until resolved. Whatever needs formal family communication moves to “Parents” where meetings and undertakings are documented; after exams, results are gathered in “Results” and reviewed before release, and the year ends with the “New Year” column for promotion and statistics.

The Forum is the school’s professional memory: a curriculum section where lesson plans and worksheets are discussed, and a teaching-affairs section where grade-committee decisions are documented — what is agreed there isn’t lost the way decisions vanish in Chat. Chat stays for daily coordination: covering an absent teacher’s class or lining up assembly. Announcements are the official channel for parent-directed circulars: exam dates, holidays, and school policies.

Dues manages tuition fees privately per student: paid and remaining installments and granted exemptions, visible only to the principal and accounting — so they know collection indicators per grade without teachers seeing families’ numbers.

Principal

Approves section distribution and final results, documents major administrative decisions in the Forum, and reviews fee-collection indicators in Dues.

Grade Supervisors

Follow “Follow-Up” and “Parents” cards for their grades, resolve behavioral and academic problems, and escalate what needs a decision to the principal.

Teachers

Open follow-up cards for student cases, share lesson plans and worksheets in the curriculum forum, and post grades on time.

Student Affairs

Manages registration cards and section lists, coordinates and documents parent meetings, and publishes official circulars in Announcements.

1) Every student case gets a card in “Follow-Up” the day it is observed — no cases managed verbally. 2) Grade decisions and assessment policies are documented in the “Grade Decisions” forum section; Chat is for daily coordination only. 3) Parent-directed circulars are published in Announcements by Student Affairs only, and no teacher contacts a parent outside the supervisor’s documentation. 4) Grades are posted on their announced dates, and results are not approved before the grade supervisor’s review. 5) Families’ data and fees are a red line: never discussed in Chat and visible only to those with Dues access. 6) “Parents” cards document meetings and undertakings on the day they happen.
