How does work flow in this system?

The semester starts with “Course” cards for each subject assigned by the department chair to a faculty member, with the plan, course specification, and approved textbook documented on it. The card moves to “Teaching” throughout the teaching weeks, tracking lecture progress, plan coverage rates, and any stumble like repeated absence or syllabus delay. At submission times, assignments are managed as cards in “Assignments” with their deadlines and results; at semester end courses move to “Exam” where questions are approved and committees and proctoring organized; then “Grade Posting” for entering, reviewing, and approving grades by the chair before official submission; everything ends with “New Semester” to archive the season and open next semester’s courses.

The Forum is the heart of academic life: a research-collaboration section for papers in preparation and conference participation opportunities, a course-development section discussing plan updates and assessment methods, and an academic student-affairs section for warnings and dismissals — documented decisions, not hallway talk. Chat is for quick coordination: a room swap, lecture cover, or urgent administrative query.

Announcements are the chair’s official voice: question-submission and grade-posting deadlines, department council meetings, and incoming college circulars. Dues manages research expenses: what is spent per research from its allocations and publishing and conference dues, with privacy keeping each researcher’s account unmixed with others.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Department Chair

Assigns courses and approves exam questions and final grades in “Grade Posting”, chairs the Forum’s research discussions, and documents department decisions.

Faculty Members

Prepare and deliver their courses and post assignments and grades on time, and present their research and course-development plans in the Forum.

Teaching Assistants

Support grading, assignment and lab organization, move “Assignments” and “Exam” cards, and log research expenses in Dues.

Schedules & Exams Coordinator

Builds lecture schedules, exam committees, and proctoring, and publishes submission and grade-posting deadlines in Announcements.

«Ground Rules for This System» — Pinned in the forum

1) Every course is a card from the first week with its plan and specification — no course taught outside the system. 2) Assignment and submission deadlines are documented on cards and announced in Announcements, and never changed verbally. 3) Research and conference opportunities go in the “Research Collaboration” section — Chat is for quick coordination only. 4) Grades are entered in “Grade Posting” and never officially submitted before the department chair’s approval. 5) Research expenses are recorded in Dues the day they are spent, with their documents attached. 6) Student affairs are discussed in their dedicated section under department permissions only, and circulating them in Chat is forbidden.

Welcome announcement: «Welcome to the Department System»

From today the semester is run from here: courses, assignments, exams, and grade posting are cards in clear columns, and research collaboration is documented in the Forum, not scattered messages. Announcements carry submission and posting deadlines and department council decisions, and research expenses are in Dues with per-researcher privacy. Start by registering the semester’s courses and reading the pinned ground-rules topic in the Forum.
