How does work flow in this system?
Work on a dairy farm is a daily cycle that never stops: the day's card starts in “Herd Health”, where the veterinarian logs periodic checks, treatments, and vaccinations, and any sick animal is isolated and excluded from production. The card moves to “Milking” and each morning and evening shift's quantity is recorded, then “Quality”, where acidity, fat content, and bacteria are tested — a batch that fails the test does not continue the journey; it is destroyed and the reasons documented. An accepted batch moves to “Cooling” with temperature and tank-entry time recorded, then “Distribution” with tanker loading and route planning, then “Sale” delivering quantities to customers, and the day is sealed in “Report” with a summary of production, returns, and remarks.
Chat is for instant coordination: a shortage of milking labor, a cooling-unit fault, a delayed distribution tanker — matters that tolerate no delay. Dues privately records feed and veterinary-medicine costs and milking and distribution labor wages against daily milk sales, so the per-liter profit margin is visible to the owner without the rest of the team seeing it.
Information flows in one clear direction: the vet decides the herd's fitness for milking and updates the “Herd Health” card, milking crews follow the exclusion lists, the quality officer documents results, the distribution officer learns the quantities ready for shipping from the card, and at day's end the report summarizes it all for the farm manager.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Farm Manager
Oversees the full daily cycle, reviews the end-of-day report, and compares production against costs in Dues to control the per-liter margin.
Veterinarian
Inspects the herd periodically, decides isolation and treatment of the sick and herd vaccinations, and documents every action on the “Herd Health” card.
Milking Crew
Run morning and evening milking shifts to approved hygiene standards, and record each shift's quantity on the card as soon as it ends.
Quality & Cooling Officer
Tests every batch in the “Quality” column and decides acceptance or destruction, and monitors and documents cooling-tank temperatures.
Distribution Officer
Plans routes and tanker loading by the quantities ready in “Cooling”, and confirms delivery to customers in the “Sale” column.
