This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
An occasion order enters as a card in the “Order” column with the occasion date, the recipient’s name, and the dedication message — the date is king here and everything is built on it. The coordinator moves it to “Personalization” where names are engraved, messages printed, or baskets assembled per the customer’s request, then “Wrapping” for final wrapping to the store’s standards, then “Delivery Schedule” sorted by upcoming delivery dates day by day. On delivery it closes in “Delivered” and the balance is settled in “Invoicing”.
Chat heats up before seasons — holidays, graduation season, and national occasions: the coordinator passes urgent customer edits to the personalization team, and the delivery officer coordinates back-to-back appointments on the same day. Approved personalization details — texts and messages — stay documented on the card, because any error in a name or message means a complete redo.
Dues records personalization and wrapping material costs per order and delivery fees, and tracks receivables from companies and organizations ordering bulk gifts on deferred invoices, so the owner knows what is owed to and by them at season peak when orders multiply.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Order Coordinator
Receives orders and records occasion and personalization details on the card, and prioritizes all work by delivery dates, not order arrival.
Personalization Designer
Executes engraving, printing, and basket assembly in “Personalization”, and goes back to the coordinator on any unclear specification before executing, not after.
Wrapping Team
Take over from “Personalization” and wrap to the store’s standards; nothing goes out to “Delivery Schedule” without full readiness and text review.
Delivery Officer
Manages the “Delivery Schedule” day by day, coordinates appointments with customers and drivers, closes cards in “Delivered”, and follows up their invoicing.
