Handmade & Craft Store System
An artisan who makes their own products and sells them made-to-order.
From the customer’s custom order to the photo of the piece before shipping and the review after it — every piece has a complete file.
No credit card required — your project is set up with the full system in under a minute
This is the system board as you'll receive it: workflow columns and starter cards showing the first steps
How does work flow in this system?
Every custom order enters as a card in the “Order” column with the full specifications of the piece: dimensions, colors, engraving, and the agreed delivery date. The artisan moves it to “Production” when crafting begins and it stays there until complete, then it moves to “Customer Photo” where the piece is photographed before shipping and the customer’s approval or edits are requested. After approval it moves to “Shipping”, then “Review” after delivery to document the customer’s feedback, and finally “Invoicing” to close the financial side.
Chat is between the artisan and their assistant for daily coordination: raw material availability, prioritizing a rush order over another, or a question about an unclear specification. The rule is that approved specifications and customer edits are written on the card itself — Chat is for coordination, and the card is the reference in any disagreement.
Dues records the cost of raw materials purchased for each order and the shipping fees, and tracks amounts owed by customers who pay on delivery or in installments. This way the artisan knows the exact profit margin of every piece, and sets future prices on numbers rather than estimates.
Who does what?
The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.
Master Artisan
Executes production and moves cards from “Order” to “Production”, and records on the card any edit the customer requests after approving the photo.
Preparation Assistant
Prepares raw materials for each order and organizes daily production priorities, and watches the “Customer Photo” column so approvals don’t stall and finished pieces don’t pile up.
Shipping & Communication Officer
Photographs pieces before shipping and sends them to customers for approval; packs, ships, follows up reviews, and closes invoices.
