How does work flow in this system?

The learner starts as a card in “Placement” where they take the placement test and their score and earned level are noted on the card; it moves to “Group” when they are assigned to a group suiting their level and schedule with a designated teacher. Throughout the course the card stays in “Follow-Up” where the teacher documents attendance, participation, assignments, and any weakness needing extra support. At level end the card moves to “Test” for the completion exam; if passed, the learner moves to “Promotion” and joins the next level, and on completing the highest level the card reaches “Certificate” where the language-completion certificate is issued at the accredited level.

Chat runs between teachers and the registration coordinator: a request to move a learner to a better-fitting group, an exam-date inquiry, or an alert about a frequently absent learner before their level collapses. Announcements carry new group schedules, open registration for levels, and final exam dates.

Dues records level fees from learners — paid and outstanding — and retest fees, so the registration coordinator knows before confirming any promotion that the learner’s financial file is clean, without paper chases between admin and teachers.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Center Manager

Approves level and group plans and promotion criteria, and reviews exam results and occupancy indicators per level.

Teachers

Run their groups in “Follow-Up”: documenting attendance and progress, preparing and grading completion exams, and raising promotion recommendations.

Registration Coordinator

Manages placement tests and learner assignment to groups, and follows fee payment in Dues before confirming any registration or promotion.

Welcome announcement: «Welcome to the Center System»

From today every learner is a card moving from “Placement” to “Certificate”, and no promotion without a documented exam and no registration without confirmed payment. Chat is for coordination between teachers and registration, Announcements for new groups and exam dates, and fees in Dues. Start by registering current learners with their levels and existing groups.
