How does work flow in this system?

The system runs two parallel lines: products and live animals. The “Inventory” column tracks feed and supplies balances with reorder cards before they run out, and the “Care” column holds a card for every animal in the store: vaccination, cleaning, and feeding with their schedules — this card is the animal’s health and behavior file. Daily sales pass through “Sales”, and veterinary clinic bookings enter “Vet Booking” with the appointment date and the customer’s and pet’s names. After the appointment they move to “Service” to document the exam or treatment done, and the whole day comes together in “Report”: sales, bookings, and urgent care cases.

Chat runs between caregivers and sales: a note on the behavior of an animal listed for sale, a feed brand used by regulars running out, or coordinating an urgent vet appointment for a case spotted in morning care. Announcements are the store manager’s voice: unified care instructions, veterinary service price updates, and guidance on handling animals and customers that everyone follows.

Dues records feed and supplies purchases from suppliers, the visiting veterinarian’s fees, and animal and service sales awaiting collection — showing sales income versus veterinary services income, and the daily care cost of the animals on display.

Who does what?

The operational roles in this system and each role's responsibility in daily work — assign them to your team as-is or adapt them to your reality.

Store Manager

Oversees both lines, approves sales and service prices and announces them in Announcements, and reviews care and inventory reports weekly.

Caregivers

Execute “Care” cards daily — feeding, cleaning, vaccination — document any health note on the animal’s card immediately, and escalate urgent ones in Chat.

Sales Officer

Manages “Sales” and “Inventory”, guides customers to the right pet and its supplies, and updates balances of fast-moving items.

Vet Booking Coordinator

Manages “Vet Booking” and confirms appointments with customers and the vet, and moves cards to “Service” after the appointment with a summary of what was done.

Welcome announcement: «Welcome to the Store System»

From today every animal in the store has a care card with its schedule, every vet booking has a card with its appointment, and every item nearing stockout shows in “Inventory”. Care instructions and price updates are published here in Announcements, and daily coordination happens in Chat. Start by creating care cards for the animals currently in the store.
