How does work flow in this system?

Orders flow all day into the “Order” column with each one’s receipt time. Pickers grab them immediately and move them to “Picking”, preparing them from the shelves in minutes; when an item is out of stock a substitute is proposed and documented on the card. Orders are handed to drivers and move to “Out for Delivery” until delivered, then close in “Delivered”. In parallel, the “Expiries” column holds cards for items nearing expiry: the inventory officer reviews them daily and decides to discount or pull them, and customer ratings and notes are gathered in “Feedback” to improve the assortment and service speed.

Chat is the speed operations room: the driver coordinates an unclear delivery location, the picker asks the supervisor about a substitute for an item missing from an order, and the supervisor redistributes backlogged orders at peak. Decisions are made in seconds in Chat, but the card remains the record against which times are measured.

Dues records daily grocery supplier payables, delivery expenses, and driver floats if any, so the day’s net profit appears without side ledgers, and the supervisor knows the weekly cost of waste from pulled expired items.

Who does what?

Fulfillment Supervisor

Distributes incoming orders to pickers, monitors preparation time from “Order” to “Out for Delivery”, and steps in immediately at any peak backlog.

Order Pickers

Pick orders from “Picking” accurately and fast, propose substitutes to the customer when an item is out, and document them on the card.

Drivers

Receive orders in “Out for Delivery” and deliver them, update the card the moment delivery happens, and log any refusal or failed delivery with its reason.

Inventory & Expiry Officer

Reviews the “Expiries” column daily, pulls expired items and discounts near-expiry ones, and updates fast-moving item quantities so picking never stalls.
